PURDY PTA November 20, 2024 Meeting Minutes

    IV. Report of the Treasurer (Hillary Dawn not present) Julie Pero reported out
    In a strong cash position. The PTA has brought in $18k in fundraising and has spent $16k so far this year (ahead and on track for the annual budget), plan to have around $100k in the bank at the end of the year.
    i. There is one outstanding check for Monster Mash (did go over budget about $1k, photo booth was bulk of this) and didn’t sell as much food.
    ii. Teacher Conf night food (didn’t go over $1100, small budget remaining for Spring conference food $375). May need to up the conference food budget next year as cost of food has increased. Could ask teachers if they plan to eat dinner (to better estimate amount of food needed) or if they prefer snacks and drinks.

    V. Committee Reports
    a. Make It Take It (12/11 and 12/12), Madchen Stone, committee chair reported outi.
    Things are going great in planning. Sign up is out for volunteers (via Parent Square and also at Harbor Ridge and PHS for students). 11 of 22 student slots filled and 8 of 10 adults on 12/11, 8 of 22 and 2 of 10 adults for 12/12. Teachers will volunteer to help wrap.
    ii. Leftover food from Fun Run will be used at tables in lunch room for after school snack. Ms. Pifer will set up a movie (Polar Express) in the lunchroom.
    iii. 9 crafts this year. Have started ordering supplies and are currently under budget (this is a net zero event).
    iv. Bags as tickets and bags have the list of crafts stapled to them. The bags have always been donated and were told they needed to be paid for this year, but Albertson’s agreed to donate again! (Susie, manager – her grandkids went to Purdy).
    v. Kinder kids need to have a parent with them.
    vi. Will be selling pizza (Stephanie ordering) and bakesale (Tanya Huffman is handling this) – 5th grade has taken this over the last few years to raise money for camp (bakesale is donation based). Need 2 volunteers for bakesale on 12/12, 12/11 is covered.
    vii. Registration: paper registration or can register on Givebacks (purdypta.givebacks.com). Scholarships are available if needed.

    b. Holiday Shoppe/Gobble Grams
    i. Will run the same week as Make It Take It, but during school hours (recess). Don’t need a lot of volunteers. Items are priced from $0.25 – $14.00. Maria Beaudette is spearheading this. We only make money on items we sell, but kept prices low. Will see how much is made before deciding if we do it again.

    ii. Gobble Grams – Ms. Boss brought this to school. Has gone well so far, but there could be more advertising in the future (a lot of students didn’t seem to know about it). Food donations and money will all go to FISH Food Bank.

    c. Yearbook
    i. Cover winner picked! Will be announced tomorrow at the assembly.
    ii. Committee met on Monday to choose the inside theme. There are 3 new people joining (6 total on committee).
    iii. There is an email where you can send photos: purdyyearbook@gmail.com
    iv. Need to start selling yearbooks, usually offer discount before end of the year.

    VI. Additional Reports
    a. Principal and Staff Updates (Kristi and Mary not present) Nicole Mundell reported out
    i. Purdy bought 16 robots for STEM class (sphero indi robots).
    ii. Mastery based learning grant is being used to work on writing standards.
    iii. Biz Town is December 19th for 5th graders.
    iv. US News report ranked Purdy in top 40% of all schools in WA.
    v. December 4th – focus on education district event at Swiftwater in the evening.
    vi. Thank you for the dinners during conference nights!

    VII. New Business/Information Sharing
    a. Disrectionary fund request from Nicole Mundell: $737.25 is being reqested for 65 sightword shirts for kindergarten classes.
    i. PTA can pay request if needed, as it is a large amount.
    ii. Motion to approve shirts through the discretionary fund brought by Julie Pero, seconded Amanda McElheran. All in favor.
    iii. Will potentially look to add this into the budget moving forward versus discretionary fund requests.

    b. Volunteers Needed
    i. The board members will be aging out in the next year or so – the PTA needs to get younger parents in to join the PTA and start chairing events.
    1. Julie Pero is thinking of doing a volunteer event to speak with interested people in a more social location and have chairs there to talk about the events. Folks wouldn’t need to commit there, but it would be a chance to come in and learn more. No budget for this, but we need a pipeline of people to start taking over things.
    a. Ideas brought up: at Beer Vault or Ocean5, or could be a fun event with child care. Or movie night at Galaxy and prerecord something to share before the movie. Fondi’s takeover before?
    b. Looking at late Jan. Will run dates past admin to not conflict with any school events.

    2. Question: could we survey parents about interest in volunteering or chairing?
    a. What would get you to a PTA meeting? Is it childcare? Or food?
    b. What would get you to volunteer?
    3. Could we ask Sheila to send out?
    4. Nicole Mundell said kindergarten teachers could share something with all incoming kinder families if PTA has something to pass out. Suggestion to have a document that could be filled out there and turned in to PTA.

    PURDY PTA October 15, 2024 Meeting Minutes

        1. Have not spent total amount for some line items which gives a little cushion in the budget.
    4. Committee Reports
      1. Fun Run – about $16,700 was raised, lots of new kindergarten volunteers, and kids seemed to have fun!
        1. Perhaps in 2 years going back to the spring – there were a lot of big funraisers this calendar year.
        1. The PTA didn’t use an outside company for raising funds, so all those funds were take home. Expenses were around $3k (shirts were the most expensive item at $2600) so the total funds will be around $13k back to the PTA.
        1. Did budget to raise $20k (with about $3-4k in expenses) so may need to do additional fund raising this year.
      1. Monster Mash – (is in 9 days!)
        1. Maria, Julie P, and Hillary are all co-chairing. Planning similar things as in years past (pizza, water, chips for sale), games, dj, trunk or treat, and some new things (guess the weight of the pumpkin, spooky house, maybe giant game of twister).
        1. Free event and biggest need is volunteers.
          1. Question: Have we asked the middle school for volunteers? Joy is the lead secretary for contact at HRMS. There may be some Gig Harbor High volunteers.
          1. Not a lot of room parents identified yet, so hard to get communication out that way. Will keep going through Sheila for ParentSquare.
          1. Asking for candy donations now too (went out on ParentSquare and Facebook).
      1. Yearbook
        1. Cover contest started and will collect  designs until 11/1, then will vote on the cover schoolwide.
        1. 3 new people on the committee – committee was recruiting folks who have younger kids at school to take this on.
        1. Will want to open the sales page soon, PTA usually does a discount before the end of the year.

      1. Parent District Council (PDC) Meeting – Julie Hoffman attended on 10/02/2024
        1. Emergency Kits were brought up and the message to PTAs is “thank you but no thank you.” Supplies are being ordered by the district but are not there yet. They see PTAs ordering supplies as an equity issue.
        1. Julie Schultz-Barlett (Deputy Chief of Schools) and Michael Farmer (Chief of Schools) – new postitions this year under superintendant – open to coming to PTA meetings to talk with folks and answer questions.
        1. Next PDC meeting is 11/6 from 10-12pm, the CFOO (Ashley Murphy) will be there to discuss PTA spending.
    6. New Business/Information Sharing
      1. Fall Conferences – week of 11/5/2024
        1. $1500 for conference dinners in the budget, should be able to do 2 nights in the fall and one in spring.
          1. Will plan to do Jimmy Johns and El Pueblito (for 11/5 and 11/7).
      1. Penguin Patch Holiday Shoppe
        1. Maria is in conversation with the contact there to formalize the date, no other updates.
        1. This is a gift store event for students to buy holiday gifts for friends/family (in addition to Make It Take It). It is a no lose activity – PTA marks up items to make money and can send back items that aren’t sold.
      1. Make It Take It
        1. Chairs are Madchen Stone and Stephanie Andrews and need someone from the PTA board to be the liaison. Also need a younger parent (or a few) to pass the torch for this event, as Madchen and Stephanie have chaired It for the last 5 years and this is their last year at the school.
        1. No dates scheduled yet for MITI. Madchen has a planning meeting scheduled soon.
        1. Maria willing to interface around registration (can use Givebacks), volunteers (Signup Genius), price (increasing), and can attend the planning meeting.
          1. Question: can we reach out to folks in Givebacks to recruit? There is a way to send messages through Sign Up Genius or Givebacks.
      1. Update/change from discretionary funding approved at prior meeting for Emergency Backpacks.
        1. Approved emergency backpacks at the last PTA meeting, but school district said the PTA cannot buy them.
        1. Question: can they be donated? A gift? It was already approved through the discretionary fund and not a line item. Confusion arose last month around this as HRMS was told no and removed this line item from their
        1. Maria will follow with up with school admin on this.
        1. Families should know that kids should be carrying emergency/extra supplies in their backpacks at this point as the school does not have them onsite. Question: Who can this message come from? Could it be in a school newsletter? Could it be aligned with the Great Shakeout? Potential general message from PTA or school around emergency preparedness.
      1. Question: is the discretionary fund form the same as last year? Yes, form updated and sent to Mary Caseley.
        1. Kindergarten request coming for sight word shirts. Line item for 1st grade, but not for kinder – will possibly adjust this moving forward in budgets.

      • Netted about $8k leftover from the PTA budget last year 
      • There is under $100k for this year and next. 
      • The budget for this school year was already approved. How can we share with all the staff? 
        • Kristi: Will leave copies in staff room. 
    2. Committee Reports 
      • Fun Run 
        • Shirts are ready to go home, the all have registration info pinned them. Current amount raised is about $7500. Need more morning volunteers. Will start setting up around 7:30am. 
        • Communications question – can PTA posts be shared on Purdy Elementary Facebook page? The PTA page is private, so posts cannot be easily shared. ParentSquare messages can go out about the fun run. Share those requests wwith Mary, Kristi, and Sheila – one of them will send out. 
    1. Additional Reports 
      • Principal and Staff Updates (Kristi Brooks) 
        • Thank you for supporting the Panther Pause Room (room for kids to go in and have a break). It is starting to look really nice – it has sensory tools. They are working on how to supervise the room and times it will be available for students. 
        • Thank you for the sound system. Will send bill to PTA once received from the school district. Sounds so much better and is much clearer. May need a few extra microphones. 
        • Enrollment – trying to hire a 2nd grade teacher (Interviews on Friday). Projections were under – 42 more students than estimated.  
        • Still an Art Focused school – looking at visual arts this year.  
        • Kindness is the theme this month – kindness link in the lunchroom being added to.  
      • Mary Casely  
        • Have been going over school expectations, bullying prevention (what is it versus what’s conflict, and when to tell an adult), reviewing safety things in 1st – 5th grades (kinder started later). 
        • Will do Purdy Reads this year – the whole school will read the same book, the kids will vote on the book, and all kids will get the book. Different grades will do different activities (like a podcast for example).  
        • Question: Notice from superintendant re: bullying, seemed more geared towards high school, does that happen here? 
          • Phones are not allowed at school, but can be used on the bus. Students are told not to take pictures of others, not going on different sites. Have not seen the issues from email at Purdy.  
    1. New Business/Information Sharing 
      • Discretionary request – this is a line item on budget – can be granted/awarded to any staff or teacher, but must be approved by the board. 
        • Funding request: Lori McCaseland (health tech): new emergency backpacks required by the district. Request is for 35 bags that are all labeled “Emergency” so it is clear in an emergency to grab from each classroom ($556.15). The bags have many items in them already. 
          • Question – what is in the bags? Kris Hagel created a list from the district – it is extensive and expensive and schools are being asked to purchase the items. A lot of questions came up around emergency kits last year at meetings, PTA was concerned about this.  
          • Motion to vote to approve spending from the discretionary fund on the emergency bags for $556.15 by Maria Beaudette, seconded Julie Pero. 
          • All in favor, funding request approved. 
        • When funding requests are approved, the requester should follow back up with the PTA president and treasurer on how to pay or get payment. 
        • Google Form created last year by Ryan to approve staff funding requests – unclear where this goes at this point. New form can be created by admin. 
        • Funding request: Ms. Boss (1st grade) – reading buddies for class (stuffed book characters from books), can be used for a long time. $264 total.  
          • Motion to vote to approve discretionary spending by Hillary Dawn, seconded Julie Pero. 
          • All in favor, funding request approved. 
      • Bus Schedule concerns 
        • Rachael – feedback received that buses changed and some kids got a paper and other kids did not and parents were not aware that buses changed.  
        • Mary – buses are no longer overcrowded, this was the issues with bus route 51. Kids were supposed to get a notice and then a ParentSquare message was supposed to go out – but the paper only went out 1 day and there was no ParentSquare message sent. Purdy will send something out moving forward if there are changes. Buses are now stable and should not be changing again.  
      • Monster Mash Committee 
        • Event Chairs: Maria Beaudette, Hillary Dawn, and Julie Pero 
        • Nothing to report, but starting to plan the event.  
        • Kristi – met today with committee and talked about the date and time: Thursday 10/24 and proposing 5-6:30pm (knowing people take a little while to leave). Day and time confirmed. 
      • Penguin Patch Holiday Shoppe (potential fundraiser – the PTA may need to do other fundraisers this year.) 
        • PPHS has a large inventory of low priced items for kids to buy as gifts. PTA would set the markup (10-30%). It runs similar to the book fair, we select a date and they provide all the inventory. Kids get a folder with pockets for budgeting. Prices range from $0.25 – $13.00. No financial risk – only pay for what we sell, send back inventory. No sense for how much we could actually fundraise. Could do the same week as Make It Take It (any kid could attend, even if not going to Make It Take It) but would need a spot to set up. Have to tell the company by 10/05. Also offer a voucher program – could work with Beth around this.  
        • Kristi – after school can be hard with kids who ride the bus or families who work, could it be a lunch hour (like Panther Paw store)?  Maybe during library time? Could work out the logistics.  
        • There is interest from the group present to try this.

      • Peninsula Hands On Art 
        • Amazing district program – first training session is Thurs 09/26 from 7-9pm at Swiftwater. The first project is “Gustav Klimt Birch Trees.” 
      • Popcorn Fridays – new coordinator, Lindsey Cliffe present at meeting.  
        • Previous coordinator and new coordinator met today and set up Sign Up Genius. Lindsey will send supplies list soon for purchasing. PTA will update website and share Sign Up Genius link. 
      • Volunteer assistance on picture day 
        • Amy Lindquist requested help finding volunteers for picture day on 10/10/2024 – would like the PTA to get the volunteers via Sign Up Genius (they are runners between the classes and photographer, marking off kids, noting absent students). PTA will do this.

        1. Thank you to everybody – board members, auction team, teacher rep, volunteers! Our PTA wouldn’t be what it is without everyone. 
        2. Fund request: board had previously approved a request from Mr. Sams for $150.84 bandanas for 5th grade camp.
          1. Motion to approve request: Hillary Dawn, seconded Julie Pero
        3. Yearbooks will be on sale at field day – there are about 60 available. PTA does not intend to re-order, but on the off chance they run out and more are requested, people will need to prepay (there as an issue last year around requests for more and then they were not paid for or picked up). Cash or check for the yearbooks ($25).
        4. Executive Board is proposing to add a third member at large. It was not presented or voted on tonight as Kristi Brooks and Ryan Heistand could not be present and the PTA was asked to wait until the fall to vote when admin could be present.
          1. Question: Does anyone know where the PTA bylaws are to review things like adding new board members or number needed for voting? The bylaws may be in the PTA closet in the filing cabinet. If they are not in there – they can be requested from the state for a feww. There was a request to store them digitally so everyone has access.
            1. Hillary Dawn will locate the bylaws.
            2. Julie Hoffman will start a Purdy PTA google drive for the PTA to store documents (agendas, minutes, budget, bylaws, instructions, and event instructions/information). 
            3. Board will also create new emails with gmail accounts, as there has not been access to the old accounts. 
        5. PTA Volunteer Appreciation event on 6/28 at 6pm at Ocean5 – kids are welcome. PTA will get a few bowling lanes and appetizers. Information will go out soon via ParentSquare and Facebook.

        1. For proposed 24/25 budget:
          1. $2k moved from assemblies to field trips. The other change was putting a hold on PHS scholarship ($1k) and relocating to playground equipment. There is a history and tradition with the scholarship and this will be a pause depending on money raised in the Bubble Run.
          2. 5th grade camp reduced to $2500. 
          3. Again, if fall fundraiser brings in more money and if there is a spring fundraiser – budget may be adjusted.

        2. Many issues with the venue (construction not completed and there was no communication); working to share feedback and send an email with complaints to request discount.

      3. 2024/2025 proposed budget shared by treasurer, Maria Beaudette – not set in stone, open to discussion – but spending has continued to go up while income has not increased.
        1. Put in some proposed reductions, that land the PTA at about $50k to start the 2025/2026 school year, which is very low for an auction year. Working to preserve the next 2 years so the PTA isn’t too low. We should consider a 2nd fundraiser next school year.
        2. PTA did a lot more fundraising in years past (candle fundraiser, ticket sales for things, book fair) and with COVID – we hadn’t spent as much money. 
        3. Should prepare a budget with the assumption of no 2nd fundraiser – we don’t know how much we will raise. Will do Bubble Run in the fall and then start to plan for a 2nd fundraiser if needed. The budget can then potentially be increased. 
        4. Budget sections: Programs and learning – no significant changes, discretionary funds lowered (it was increased this year as PTA didn’t pay for Dancing Classrooms, full amount not spent this year and it has historically been abour $3k)
          1. Field trips and assemblies have not been fully spent this year – so may end the year with a little bit more money.
        5. Services and Comm Builders – these events have been net zero – perhaps consider them being fundraisers (Make It Take It for ex). PHS scholarship line item – maybe reduce or take out to focus just on Purdy students. Scholarships budget lowered as this has not been spent (book fair and camp).
        6. Admin – tax return, insurance for PTA. There is some income when folks sign up for PTA memberships. Dues could also be increased.
          1. For next year – sharing more around what folks get for being a PTA member.
        7. Classroom – Staff – biggest cuts here. $1k per grade for field trips budgeted (there was a family donation last year that increased this budget, $6k is more on track historically), RAZ kids had not previously been in the budget but was requested last year (at $4k), this year it was $700 ($2k may be more on track with the cost). Specialists have received a larger grant for supplies and this amount was reduced. Staff appreciation kept where it was. Staff recources was reduced (this is a grant every staff has received) – should every staff person get this or just teachers? Conference food no changes. Potential 2nd fundraiser here (budgeted at $0). 5th grade moving on – unclear what money funds, Camp Seymore budget has increased over the years. $9k raised for AV equipment at the auction (bettering the sound system for performances and assemblies). 
        8. Treasurer made recommendations – open to feedback, will meet with Ryan and Kristi then there will be a vote on it at the June PTA meeting. It was a successful auction, but the PTA has spent more and more, so need to plan thoughtfully for 2 years.
          1. Suggestion on ensuring clear messaging re: money raised at the auction (folks thought we raised $92k and have that full amount). Encourage attendance at PTA meetings to be informed and learn how the PTA budgets and spends the money raised.
          2. Question: what are potential fundraisers? Previously done: fall candles, wrapping paper, wreaths, or charge admission at Monster Mash (could do donation at the door, prechecks ins have been challenging), fund raiser in membership drive (ask for donations), or Giving Tuesday. Suggestion to check with middle school about fundraisers (they do wrapping paper) so there aren’t conflicting fund raisers.

      4. Wine drive this Friday by vet clinic – wine valued at $20 or more. Contact Julie P if cannot drop off then.

    8. Guest Speaker, Brent Campbell & Principal, Kristi Brooks – sharing information about lockdown and subsequent feedback.
      1. Parent meeting occurred to debrief, there were almost 50 people present. The district/school board saw the success of the meeting and will look to do that for future incidents.
      2. Take aways: there were many debriefs for learning, staff couldn’t hear the lockdown (11 of 21 teachers said the annoucement was muffled or too quiet (this was shared with district tech and they made some adjustments), staff/students outside couldn’t hear/didn’t know, communication important in a crises. Brent met with Purdy staff on 3/15 to talk about lock downs and modified lock downs, there was a follow up to talk with students as well and has also been going into classrooms as requested to talk with teachers and students. 
      3. Kristi – Parent requested follow ups: worked with District office on immediate communication and lots of questions came in as it was too general, tried to continually update (do need to have ParentSquare set to get immediate upates and not to digest).   
      4. Question: Can the school get reader boards? Can be explored. 
      5. Question: Are teachers doing sweeps of hallways to get kids out in the halls? Yes, staff do sweep of immediate vacinity of their area.
      6. Question: Could there be room/area specific lock down instructions? Would be helpful for subs and anyone in the room at the time. Lock down/modified lock down sheets should be added to all sub packets. Teachers may need to ensure room info is in their own sub information. There is a list in the classroom that has emergency instructions. 
      7. Feedback about side gate and leaving it open for Right at School – it will now be locked at all times and kids needs to go through the school front door. 
      8. Question: Getting buzzed in during the day, is it one at a time even when multiple people? Yes, only one person at a time being buzzed in. There is now a staff member at the door at drop off monitoring who is going in, asking parents not to come in then (and wait until drop off complete).
      9. There has been an increase in Watch Dog voluneers – have had someone every day, sometimes 2-3 dads. Looking at how to include moms next year. 
      10. Question: lock drown drills vs actual procedures: some suprises around kids getting objects to throw – can this be communicated before or during drills? This is part of best practices – books or mugs are not intended to hurt, rather to distract and interrupt someone’s thinking process. Mrs. De Los Santos said she talks about this from early on in the year – so kids know in age appropriate ways. 
      11. Question: for future debriefing meeting for parents who cannot be there in person, can there be a Zoom option? This has been shared with District – that there is a larger desire by parents around the district to know more. This ties into larger emergency preparedness in the District. Brent has been talking and doing planning around this – schools should be prepared for students to stay for 72 hours, have containers with items, and in class go bags. The Purdy PTA has helped with emergency kits before – but there is not consistentcy around all schools to do this. PTA is willing to continue to help make/stuff bags/containers. Allergies/dietary restrictions and medications also need to be factored in. 
      12. Parents just want to know the protocols for emergencies and what safety measures are in place.  Recommendations for District wide meetings and trainings on this.
        1. Good reminders around having local emergency contacts for pick ups in an emergency.

        1. Thank you for Cinderella support – for the home, and volunteers, etc. 
        2. Volunteer breakfast 5/1 – invitations have gone out. 
        3. Connect to K – for incoming kinders on 5/17, would love PTA to be there. The school needs families to sign up asap so staffing can be in place (41 kids so far).
        4. Thank you to Watch Dogs and moms/volunteers for all the support. 
        5. School found out today that state has cut $600k LAP funding, which supports reading/literacy (Ms. Manning). 4 positions are being reduced to half time in our district – will only be able to focus on reading/literacy moving forward for k-2nd.  This is a huge loss for the school/district – anything parents can do to speak up and speak out about this – please do. Jessica will bring to PDC this week.

        2. Bullying/Racism study session at school boardin meeting on 3/19 at Swiftwater. 
        3. State of Play survery results are being reviewed. PSD and PenMet will be looking at working together on opportunities.
        4. Superintendant – willing to do “Sit with the Sup” for the auction – coffee/tea and school tour with her. 
        5. April’s PDC meeting will be 4/10 at 10am – Jessica needs someone to attend in her place.

The budget will not be negative, possible there will be some student scholarships, but with housing taken care of, the PTA will net $2k-$2300 from this production. PTA ended up charging for this as the belief was there would be hotel costs for the instructors (no longer needed). There is talk of providing meals during rehearsals. 
        2. At last PTA meeting, reported more deposits than recorded for the Glow Dance, but they were auction tickets.
        3. Talent Show – overbudget, but this was offset as we were underbudget for the Boo Hoo breakfast.

        1. Arts Infusion – all school field trip last week to see Little Red Riding Hood in Bremerton went great.
        2. Excited for the Missoula play, happy it will be free to attend. There will be 3 performances – dress rehearsal 10:30am, all school 1:30pm, and evening 6pm.
        3. Dancing Classrooms – started with 5th grade. June 7th performance.
        4. Talent Show was absolutely amazing – great volunteer support.
        5. Arts Around the World – planning meeting today.
        6. Planning for the last assembly. 
        7. Question: following up on meeting with SRO (Brent) re: emergency preparedness.
          1. Met with Brent and based on safety bond that was passed, they are discussing ways to organize materials already in buildings. At Purdy – there is a room by Leah that has items (first aid kits, tarps, etc.). 
          2. On 3/15, he came in to discuss lock downs. Answered questions staff had. Required to have drills every month (lock down, fire, etc.).  Will do a missing student drill next (a teacher’s child will be used for this). 
          3. Questions around safety had come up after the power outtage and how will students be impacted. The district had stopped doing emergency kits (storage issues). Purdy kitchen has food and water to last several days. Students who have allergies should have items in their own backpacks.
          4. Preschool met with Brent today – he has been open and avaialble for questions.
        8. Questions have come up re: Gig Harbor Now article about Bullying/Racism presentation on 3/19.
          1. At the beginning of the year, all kids are taught difference between bullying and conflict. 
          2. HIB form and process that can be initiated are on the district website. Mr H has also shared this with parents when needed. There is a reponse protocol to review and make findings. Purdy is quick to call and talk with families – there will always be bullying. They are many proactive pieces put into place – presentations, kindness/scenarios, counselor talks with classes and shares lessons. If those things have failed and they need to take a more reactive approach – that is where the HIB form/process comes in.
        9. School Improvement Plan – Kristi and Mr. H will be presenting at the school board meeting next Tuesday on reading/math/SEL – have seen great growth in students.

        1. Thank you for the mounds of pizza last week at conferences!
        2. Question: Is there a decision on food for Arts Around the World? Have reached out to multiple restaurants (Panda, El Pueblito, Fondi’s, and the Greek place) but have not gotten confirmation from any of them. Mr K will be reaching out to families soon to gauge interest, but if they cannot get local businesses they will scrap food all together (will decide 5/1). Planning for projects is underway. There were 1000 people last year. May ask PTA for volunteer support night of.

      1. Auction updates – Julie Pero: 135 tickets sold, 200 is max number of tickets – ticket sales open until 5/1. Catalogue will be printed soon – still open for sponsorships (until end of March), donations until end of April.

        2. The Pierce Co Library (Gig Harbor Library) is trying to do more events for elementary school kids. They currently have chess club on Tuesdays.

        1. Mr. Pleasant was at school yesterday – focused on belonging, confidence, and safe space. They ended with a “Soul Train” line in honor of Black History Month – every kid at school participated!

        3. All School Field Trip 3/19 to Bremerton to see Little Red Riding Hood.  
        4. Doing a lot of reading at school – kicking off 1000 minute challenge on Friday (also pajama day).
        5. Conferences coming up – 3/21 (3/21 and 3/22 are half days).

        6. Mishap with theater in Tacoma around the play – reached out to Missoula 4/1-4/6 to do the school play (Cinderella) – it is much more intensive, 60 kids can participate. Kids may not need to pay to participate as cost is much lower then other program. Need to host the 2 instructors – 1 teacher has already volunteered. Looking at options.
          1. Question: Will the school be going to see Freaky Friday at PHS? Some grades may attend, but they recommended older kids. (potentially 5/7). 
        7. Met with safety officer (Brett Campbell) over break – discussed emergency safety supplies with him. District is going to purchase metal containers for water, blankets, etc. – but will not be in place until next year.
        8. Technology – met with the district to talk about a few things for the Fund a Need for the auction: hanging microphones or wireless mics, TV screen in the lunchroom to show student news, and coding robots.

        1. Arts Around the World – June 6th, teachers will do a planning meeting in March. Teachers may need some PTA support with helping set up sign up lists, etc. They are reaching out to El Pueblito, Fondi, and Panda Express – but also want to put it out to families if they want to bring an important food from their culture. Is there a PTA budget on food for the event? There is not a line item – but could pull from discretionary account (budget was $5k, spent $1370 YTD) and reallocated a secondary discretionary amount due to not needing to fund Dancing Classrooms ($3k) – the PTA would just need to vote on the amount.

        1. Fund a Need or Raise the Paddle – in years past have made a video around the need to encourage giving; this year will be around audio/technology. Video pricing is out of the current budget.

Staff will be doing events again too that can be purchased (principal for a day for ex.) and also fund a need (will make this a more equitable process this year so all grades get an equal amount).

        8. Question: any way to hype up the PTA at the auction? Can put up signup at the event about the PTA. Idea: if you attend a PTA meeting you can be entered into a drawing to win 2 free tickets to the auction. Start this in Feb (2/28 next meeting due to winter break). 
        9. Question: what does the auction money go to? It funds all the activities the PTA supports at the school (assemblies, Monster Mash, Make It Take It, teacher stipends, field trips, etc.). Budget is always available to view to see where money is being allocated. The PTA is a nonprofit and this is a charitable auction.

        1. Excited about the Glow Dance. Goal was $10k to fund Arts Impact training for two years, $16k raised. There are a lot of nice prizes. Grandparents are 49% of the donors (at $11k). All kids can register and they don’t need to get donations, all will get shirts. Friday is the dance day, the company comes and does the whole event. 
        2. Highly Capable testing coming up 1/31 and 2/1 for students referred by teachers and parents.
          1. 57 students referred.
        3. No school 2/2 to do report cards, they will come out 2/6 (emailed and on Parent Square – new report card system). There will be a guide for parents as the report cards are different. 
        4. Second grade swim lessons 2/5-2/8 at the YMCA.
        5. Stream Night on 2/12 5-6:30, 1st and 2nd grade are singing, book exchange, stem activities. Looking for volunteers.

      10. Katie Pansky, school pyschologist – first year at Purdy, but with the district since 2019
        1. There was interest in having a regulation space for kids to learn how to regulate themselves independently. Have talked with Ms. Ruffner and the school OT to collaborate on things Purdy needs for this space. 
        2. Assking for funds on creating a regulation space (in a current open classroom) – did complete link for request. Items requested – big rug, 3 bean bag chairs, 3 boxes of foam tiles, rope lights (33 feet X 4), blue tooth speaker – $705 estimated cost (with tax).
          1. Question: will space remain? Hope is to always have a regulation space of some sort if the classroom were to be needed. 
          2. Question: some classes already have a space, how would this be different? Some students need more time/privacy or help with regulation, possibly coud be used by teachers for groups or meetings. 
          3. Question: if student is sent there, is office notified? Not worked out yet, just know space is needed. Will need staff input for design/logistics.
          4. Question: is this room currently used for other things? Students who cannot be in the classroom (dysregulated) are currently going there, very sterile room. It is the old options room and close to supportive staff.
          5. Question: how is admin approval for financial requests happening before PTA? Purdy admin is getting the form first and then passing it on to the PTA when approved.
    5. Presentation: Food Backpacks for Kids – Michelle Johnson, Director of Communications
      1. Precovid – supplemental meals for over the weekend, during and post-Covid were able to grow and pivot. Mission is to get food to kids. Still have food backpacks – used to be bigger, but opened family pantry so hopefully more people are coming in there to pick up things they want/need.
      2. 135 backpacks went out today (go out to schools on Wednesdays for delivery), all schools in PSD get backpacks. Put holiday food items in the bags this week.
      3. Home deliveries – 55 deliveries, 2 added on Fox Island; half on this side of the bridge.
      4. Family Pantry (didn’t want to call it a food bank) – anyone can shop and choose items wanted, no questions asked – no ID, no income verification needed – just need ages and # in household. Serving over 200 families, expect to reach 4000 people during the holidays (half of those are children – numbers keep going up and up). Holiday meal items now available. Located in Key Center (state certified food bank). 
      5. Care Cupboards – pantry within the school: PSD high schools and middle schools have them, some elementaries. Place where students can go to grab snacks or families can grab something. Has been a good way to connect families to other resources; don’t need a lot of space – can be any size. The food is ordered from FB4K every other week (shared sample order form).
        1. PTAs are great to support these – can do food drives for your own school/community. 
        2. Could even be a few boxes/cases of granola bars in a few teachers’ classrooms. 
      6. Surveyed school staff last year – reported 40%+ of kids needed supplemental foods. 
      7. Help spread the word about programs available! Always an option to start up a Care Cupboard at any time – available for any questions. 
      8. Question: maintaining/supervising it? Who orders the food? Staffing of it?
        1. Pioneer PTA is just starting this and will be staffing. 
        2. Should it be annonymous/how maintain annonymity? Only school staff manage? There are no qualifications – so anyone can access, reduce stigma of getting food.  
      9. Purdy admin will talk about it and bring to Building Leadership Team and then bring it back to PTA. 
      10. Question: Since state not sharing who is on free and reduced lunch or numbers – can we request it?

      11. If interested in doing a food drive – please contact FB4K to see what is needed. Always open to fiscal donations as well. Do a big clothing drive every year. 
      12. Question today about the power outage – in an emergency, how areschools serving food? Issue came up today at the middle school when they couldn’t heat up the food for lunches. District has said schools cannot have emergency kits/supplies – so what is the plan?

      • Jennifer DiRosa asked if the other 2 first grade classes would end up asking for additional mats for budget forecasting purposes.
        • Kristi Brooks replied that they may end up just sharing, or the other classes may use different instruction techniques in lieu of the yoga.

          • Maria confirmed that since this seems like it is an item Mrs. Walloch can purchase using her budgeted department funding, no additional funding request approval from the PTA is necessary.

    1. The drive encourages families to become PTA members – the class with the most memberships will receive a popcorn party. One party for top class of grades K-2; an additional party for the top class of grades 3-5.

When requesting reimbursement, staff and volunteers need to submit either 1) physical receipt of what it is who paid for it and leave it in the PTA box in the front office label for Maria, OR 2) digital receipts within an email of what the items are for and who needs reimbursement to Maria’s personal or PTA email address.
        4. Maria will report current spending and budgets monthly, as we must be extra conscious due to it being an auction year and tighter budget.

    2. Safety Officers will offer support via forming relationships with students from the high school, and the new officer has been meeting with some Purdy students because the want to partner more with Purdy Elementary.
      1. Jessica mentioned Peninsula Dance Company offers student performances, so it may be a future opportunity for enrichment at Purdy

        3. The Great American Shake Out will be on Thursday, 10/19 during the school day
        4. Veteran’s Day Assembly will be 11/9/23 at 1:40 pm and 5:30 pm with the 5th graders singing. The Purdy community is welcome.
        5. There will be a Glow Dance Assembly on January 26th, 2024 to help raise donations to pay back staff for arts trainings they have taken in the last year. Donations will be accepted online.

        3. A lot of events with expenses and income (Monster Mash or Make It Take It), not trying to make money/fund raise but have events for students. There are other dedicated fund raisers (auction or bubble run).
        4. Every staff receives a check from the PTA for supplies.
          1. Question – what are staff checks for? It is a grant for staff to use for supplies. Do businesses ever sponsor this? No.

        1. Yearbook – committe is getting started and have started saving photos. Google drive sent out to teachers to download photos. Looking at a gmail account for parents to send in photots.

        2. Madchen Stone and Jessica are working on parent docents for Hands On Art and having a parent rep meet and greet/orientation (maybe in mid-October or after fall conferences). 6 room parents so far and good response with HOA docents.
          1. The docent leads an art project with HOA: plays video and sets up the supplies – 4 times a year. The first training is next week 9/28 at 7pm at Swiftwater for new docents.
          2. The PTA used to do orientations for room parents – will start again. Room parents will be doing a lot of email communication this year with the auction, HOA, also help plan parties, and support staff appreciation.

        2. Theme for the month is kindness with an assembly at the end of the month to celebrate students. They have been making kindness chain and talking about kidness on the annoucements. Already seeing a lot of students show kindess.
        3. New staff: Ms. Stone (resource teacher), 4/5 Pace Mrs. Walker. There is also a 2/3 Pace student who is hearing impaired, so Para is signing and PHS ASL students also helping at school to sign – so whole school is learning signs.
        4. Panther Paws for safe, respectful, responsible, and kind behavior – give out a lot in the beginning of the yeart to reinforce behavior. Panther Store has started.
          1. Could use some volunteers for this for K-2 (go into the classrooms for this) on Thursdays (1:40 and 2:50pm). More to come.
          2. Volunteer clearance needed to volunteer at school (updated every 2 years).
        5. Purdy is an Arts Infusion School (along with Discovery and Minter) – didn’t get grant again this year that supported schools last year. $15k is being donated to support again from the school district. Looking to do another event and to find more funding to suport this. Thinking about ideas for the event now.
        6. Arts Impact training again: 10/09 training for staff. Purdy is focusing on performance this year. May have Mr. Pleasant come in again for assemblies.
        7. Heron’s Key has asked for 50 placemats for Veterans’s Day, Ms. Arneson is leading this. 
        8. Veteran’s Day assembly is tentatively scheduled for 11/09.
        9. Bringing back watchdog/Dad’s of Great Students this year.

      1. Auction Committee – Auction 5/11/2024 at Canterwood
        1. PTA puts on an auction every other year that funds the PTA for 2 years and raises over $100k. This year’s theme is Night at the Casino. Kick off event this Friday 9/22 at Beer Vault at 6pm to talk about volunteer opportunities. 
        2. Need Procurement Chair – getting the donations/items – and managing the team
        3. Need Decoration Chair – there is a budget for this
